Returns, Refunds & Claims Policy
Elkaiva Return & Claims Policy
At Elkaiva, we are committed to delivering high-quality, customized products to each of our private label partners. Due to the nature of private label production, most items are made to order and tailored to your specifications. As such, our return and claims policy is designed to balance flexibility in the rare case of defects with the operational realities of custom production.
1. All Sales Are Final
All Elkaiva orders are produced specifically for your brand based on approved designs, fabrics, and specifications. Because these products are custom-made, we do not accept returns, exchanges, or cancellations once production has started.
This applies to:
- Branded or labeled items
- Custom styles or cuts
- Special fabric sourcing
- Personalized packaging
2. Damaged or Defective Items
If your order arrives with any manufacturing defect or damage in transit, we will review and replace or refund the affected items at no cost to you.
To file a claim:
- Notify us within 5 business days of delivery

After review, if approved, Elkaiva will offer one of the following:
- Replacement of defective items (preferred)
- Refund for defective items
- Partial credit depending on the issue
We may require return of the defective items for inspection.
3. Quality Control and Approval
Before production begins, Elkaiva provides prototypes, sample approvals, or final confirmations (depending on your package). It is the client’s responsibility to confirm:
- Fit and measurements
- Fabrics and trims
- Colors and finishing
- Labeling and packaging
Once approved, production will proceed and changes cannot be made. Discrepancies based on unapproved revisions are not eligible for return.
4. Return Shipping
In the case of approved defective item returns:
- Elkaiva will cover return shipping costs
- We will provide a prepaid return label or arrange pickup
Unapproved returns or unauthorized shipments to our facility will not be accepted or refunded.
5. Missed Deadlines or Order Discrepancies
While we aim to meet every timeline, production delays due to fabric sourcing, customs, or force majeure may occur. These will be communicated clearly. Refunds will not be granted for delays unless otherwise agreed in writing in your production agreement.
Any quantity or item discrepancy must be reported within 3 business days of delivery.
6. Non-Returnable Situations
We do not accept returns or claims for:
- Sizing issues resulting from client-provided measurements
- Minor variations within accepted production tolerance (up to 1.5 cm)
- Client overstock or unsold inventory
- Change of mind after order confirmation

8. Legal & Acknowledgment
By placing an order with Elkaiva, you agree to this return and claims policy. This policy is part of your master service agreement, quotation, or invoice terms unless otherwise agreed in writing.
